Writing a formal request

Write a formal request to an organisation — for a deferral, an exemption or an authorisation — with the right formal prepositional phrases.

Grammar

Formal prepositional phrases

  • Formal letters use fixed prepositional phrases: in verband met (in connection with / because of), met betrekking tot (regarding), naar aanleiding van (following), ten behoeve van (for / for the benefit of): In verband met een verhuizing verzoek ik u om uitstel van betaling.
  • Ter + noun is an old fixed form (ter = te der) used for purpose: ter informatie, ter ondertekening, ter goedkeuring, ter inzage. Bijgaand stuur ik u het formulier ter ondertekening. Don't make your own new ones — learn the fixed set.
  • Verzoeken = to request (formal vragen): verzoeken om + noun, or verzoeken + (om) + te-infinitive: Ik verzoek u om een ontvangstbevestiging. Ik verzoek u mij binnen twee weken te informeren.
  • Opening and closing the request: Hierbij verzoek ik u … (inversion after hierbij); Graag ontvang ik binnen twee weken uw reactie.
  • Keep it impersonal and precise: name the request, the reason, the evidence and the deadline: Als bewijsstuk voeg ik een kopie van het huurcontract bij.
